Travel

  • in this project, we are going for as much sustainable approach as possible. We will sort trash, eat vegetarian, etc.
  • Part of this is also Green travel – which means, over 51 % of your journey have to be on the ground (through bus, train, carsharing).
  • If you won’t keep those conditions, let me know, because you will have a smaller limit for travel reimbursement.

  • You are expected to be in a village Čimelice (bus stop), on 8/6/2025, at 16:00 CET latest.
  • Someone will be waiting for you to help you to reach the venue.
  • You might still walk about 1 hour (3.8 km) to the venue. If necessary, we can take your luggage by car, but it is better if you take a proper travel bag for the journey.
  • Be ready to leave the venue on 19/6/2025, before 10:00 CET
  • We will see how to support you depending on individual travel plans, but most probably we will not be able to take you all by car to the Čimelice, so be ready to walk there!
  • If you need to leave before 19/6, let me know so we can plan it properly. The official program ends on 18/6, 19:00.
  • Based on the regulation, you should start your journey earliest on 7th of June, and end it latest on 20th of June (unless you are an Italian. If you are an Italian, you can start on 6th, and return on 21st).
  • If your travel start sooner/end earlier, you need to have a good reason for it (i.e. much cheaper tickets).
  • If you won’t fit in those conditions, you might not be eligible for travel reimbursement.

Tickets

  • For many of you, Flixbus will the best strategy.
  • Most probably, you will first need to reach Prague. From Prague, you will take a bus to Čimelice. You can find (and purchuase) a proper ticket through here: www.idos.cz/en
  • In some cases (Slovenia, Hungary, Slovakia, Czechia), you can plan your whoel trip through here: www.idos.cz/en

  • Inform me on the city you are going to travel from. As I know some of you plan to travel from different countries, I need to address all its burocratic aspects.
  • Send me your ticket proposal to this email. It can look like a screenshot which needs to contain

  • Don’t purchase your tickets before checking it with me!
  • Remember, to those project, everybody should travel GREEN (that is 51 % of the road is on the ground). If you would like to use the plain, discuss it with me first!
  • After I will confirm your ticket proposal, you can purchase it.
  • Following is necesarry for a smooth reimbursement process!

    3. Find a folder with your name
    4. Fill in the Google Sheet with all info about your travel (chronologically)
    5. Upload your tickets into your national folder, into the folder under your name! Number them chronologically!
    6. If you are using a plane, we need also your boarding passess! Screenshot your boarding pass from the app, because some Apps are dissapearing the boarding passes after their usage.

  • Erasmus+ calculated maximum amount of travel reimbursement you can receive based on the distance band.
  • All participants are obliged to travel green, meaning you are not allowed to travel by plane. Given amount of reimbursement is valid only if this condition is kept.

  • To be fully reimburse for your travel, you need to present all the tickets (as described above), and fill the travel sheet. We can reimburse only what is documented. Bank statement is not enough, we need the tickets!
  • You will be reimbursed only when the Follow-up is finished (see below).
  • As we are reimbursing all national team at once (to limit fees for international transfers), we will reimburse you only when your whole team did their part.
  • Expected time of reimbursement if 4 month after the YE. If you need the money earlier, you can approach me, it is possible, if we make individual agreements.

There is several steps to do before you will be eligable for travel reimbursement:

  • You will fill an Evaluation form (1 month after the YE)
  • You will fill an Impact form (3 months after the YE)
  • You will take part in an online call after the project (3 months after the project)
  • You will give us your testimonial about the impact the project had on you (within 3 months after the project)
  • You will implement (at least partly) an action plan you are going to make during the YE

Extras

  • After you will purchase your tickets, we will send you a link to confirmation form, where you will have a chance to fill in all your individual needs, diets, etc.
  • If you are asking any fee to your sending organization, we won’t ask you for any extra money
  • If you are not paying fee, we will ask you for a 30 euros
  • If you don’t wanna pay, you can offer us extra help with the project (we prefer this over money)
  • The venue is non-alcoholic – it is forbidden to drink alcohol there
  • The venue is non-smoking – you will need to smoke behind its premises
  • Silent time is 22:00 – according the law of Czech Republic, you can’t be doing mess after 22:00… plus, we support people sleeping well. So, this doesn’t mean you have to sleep at 22:00, but it means you can’t disturb those who already want to sleep.
  • You are expected to take a full part in the program. That means being on time and ready to participate. If you have individual needs (work call, menstruations pain, simply in a need of break), that’s ok, you can take what you need, but you need to inform the facilitators first!

Practical

The venue is a yurt camp located just a one-hour bus drive from Prague. It is a part of the eco-community, which is located just next door. The yurts are comfortable and equipped with sleeping mattresses and storage spaces. Each yurt has a fireplace and lighting. Showers, a shared equipped kitchen, and toilets are fully available.

  • There are 2 bigger yurts with beds, and 4 smaller yurts where you will get sleeping mats.
  • We are a bit gender blind, so we don’t do sleeping order. In other words, you will come, you will claim your bad, and that’s how you will sleep. If you will be unsatisfied with your place, you can always negotiate with the rest of the group for a change.
  • We don’t support people to sleep in their national teams! Screw that. You are in an international project! Mingle us much as possible. Make friends! See what it can bring.
  • If you have specific sleeping needs (due to your religious believes, personal fears, etc.), mention it in the Confirmation form, and we will do our best to answer them.
  • You can bring your own tent and build it on a spot, if you prefer to have bit of a privacy. 

 

  • There will be 3 meals a day + 2 coffee breaks.  The food provided during the program will be an environmentally-conscious plant-based cooked by our amazing vegan chef who will be happy to provide you with information on sustainable and healthy cooking.
  • Before the project, we will ask you about your special diet or allergies to arrange your needs in time.
  • There are no shops nearby, please bring all the necessary stuff with you.
  • In case of need, we can do shopping from time to time, based on availability of our shopping crew.
  • Sleeping bag
  • Pillow, if you need one
  • Bedsheet, to cover the sleeping matrace
  • Comfortable shoes for a small hike (no hard core terrain, so no hard core equipment necessary)
  • Enough comfortable clothes for 10 days of outdoor experience
  • Rain coat (we don’t control the weather)
  • Personal journal (if you have your favorite one – but we will also have some on the spot, if you will need some)
  • Swimming suit (if you want to swim)
  • Earplugs (they are always handy on international projects)
  • Sun cream (it will probably be nice, so you will need it)
  • Repelent (lake is nearby, so there will be bunch of mosquitos)
