Beginning

Introduction of INspire and Vojta to Selen, and Selen’s introduction to Vojta.

Communication

  • All official communication, including documents and meeting invitations, is done by email.
  • Unofficial communication is handled through the WhatsApp group, where tasks can also be discussed.
  • All files are stored on Google Drive: KA2 Art Well.
    • The Budget Flow Excel file is used for real-time tracking of expenses.
    • The Administration folder contains documents for the National Agency and other contracts — Vojta primarily manages this.

Managers & Substitutes

  • Everyone has filled in the shared table with the contact details of their organisation’s project managers.

Review of the project

  • Empty cells in the Gantt chart indicate tasks that were moved from the initial plan.

Kick-off Meeting

  • To be organised on 8–9 May.
  • Travel and accommodation arrangements are to be managed by each partner.
  • The plan will be sent by Vojta (including review of IPA, Gantt chart, etc.).
  • Zsuzsa suggested preparing guidelines for the interviews, which will be discussed during the kick-off.

Other topics

  • INspire plans to involve a university colleague with prior experience to conduct the focus groups.
  • F4F has established communication with a local school and university.
  • EMINA will engage both local and international communities, including universities, previous participants, and social media networks.
  • The target groups for focus groups and local workshops should be the same, though the individual participants may differ.

  • IPA was agreed upon and signed
  • Everything regarding activities, communication, dissemination was clarified
  • Risk mittigation was discussed
  • Andras suggested doing the training in September. We agreed to find the exact date in January.
  • Managers meeting are to happen monthly on the first Monday of the month at 10am CET.
  • Multiplier event – ideas – exhibitions with stakeholders → proving that the people where there + teaching the practises
  • Logo – choosing one with a brush, we only need to find 3 colours (Ela will suggest some) and Tetiana will send the logo in different colours
  • Social media – Vojta creates a post and send it to the WhatsApp group – some partners will just reshare it, but for some social platforms we will change the colour/font and then we need to send the link → Vojta will write the instruction
  • Everywhere: logo of EU (Co-funded by the European Union) 
  • Selen will look at the comments from 13.3.

Tasks & deadlines

Focus groups

  • Ukraine: finished, 20 ppl in total, groups were quite different, we are going to planned the workshop for October/November
  • Hungary: focus groups in June, already have a dates for art workshops in September, the national report is done, already have a plan for national workshops.
  • Austria: planned to be done in the end of July, meeting with trainers soon, done in 3 days, different groups
  • Czechia: finished, 20 ppl in total, mostly LGBT+, neurodivergent, and expats, the national report is done.

Conclusions from focus groups

  • youngsters can be contradictory (talking about not wanting to “professional” art, but wanting to learn “professional” skills)
  • not eager for “team-building” but only for making an art
